POSITION SUMMARY

The Event Producer Role is part of the event production team, which drives the onsite experience and execution of our private and designed events through the bay area. This position participates in the planning and production of our public, private, and designed events, partners closely with the Business development team and Operations leaders to build quotes, and provides a high level of customer service to our clients and guests. As the Event Producer, you run lead on planning and production of the physical elements of events as assigned and report directly into the Event Production Manager. 

This position is responsible for leading and ensuring the physical and tangible elements in the space achieve the client’s event objectives and align with the company’s core values and operational objectives to ensure the strategic priorities are met. This position collaborates with internal teams to fully successfully execute the client’s design and objectives, through logistics, production, and onsite execution. This position interfaces directly with internal teams, venue partners, and all suppliers and vendors as well as occasionally with clients, including managing client and vendor relationships and the full scope of event logistics from consulting through the contract development process throughout the planning phase and managing onsite execution.

This is a position which requires nights and weekends to regularly oversee, support and improve operational needs. This position is primarily based in San Francisco with travel to our events as needed throughout the Bay Area.

HOW THIS ROLE RELATES TO THE SUCCESS OF OTG: 

This position is responsible for designing the experience for our clients and guests for our larger scale events through curating and deploying physical and tangible elements. This position owns the process of managing event-specific assets, contracting additional assets as needed, and the full production process  for our public and designed events as assigned. This position is the intermediary liaison for production clients (internal and external) and production vendors to create unique and turn-key experiences throughout the planning and production process. This position supports the process of collaboration between teams throughout the planning and production phases for development, iteration, and growth.

This position will be responsible for, but not limited to the following: 

General Event Management

  • Support the Execution of world class Experience Design and service-oriented events with a diverse portfolio of stakeholders including large corporate entities, event professionals and municipal entities with leadership from Event Ops Leaders and Event Production Manager (EPM). 
  • Utilize and iterate strong systems oriented thinking for creating, documenting and refining processes to produce scalable experiences that can be sold or implemented with short notice. 
  • Support our customer experience in both our public and private catered experiences including event production with emphasis in Food and Beverage, event execution, client management and post event logistical needs. 
  • Supports team (catering producer, experience designer, technicians etc) in creating a cohesive presence within the event operations team so all work in unison and with the same ultimate goals of team satisfaction
  • Champion Off the Grid values, working to instill them in all facets of operations, and fully embodying Off the Grid associated with our production standards to create unique and creative experiences for our customers. 
  • Develop and maintain strong professional working relationships with internal creators, teams, and partners.
  • Support and contribute to the development of hospitality and customer service programs, including training initiatives and implementation. 
  • Build and implement systems of transparency for ensuring the health, safety and sanitation standards are met above and beyond local health and fire code standards.
  • Encourage participation and ownership by all, along with a continuous focus on execution, hospitality, and team engagement.
  • Support all levels of management by handling other assigned duties

Event Production

  • Support and own the planning process of full production plans for onsite and offsite services to include catering, rentals, and design plans under the direction of Event Operations Leaders, EPM, and Event Ops Leadership
  • Assist in iterating the administrative processes associated with the event phase of a function and the associated transitions between all event phases as they relate to the production teams with collaboration of internal team partners
  • Attend client meetings and events as necessary to support Event Operations and Team
  • Provide onsite visits and provide feedback to the team, Event Operations Leaders, and EPM in support of Client and Creator/Vendor Success
  • Support and advise on rental needs (tables, linens, platters, chafers, risers etc.) as a function of approved event design as needed/requested. With the support of coordinator, place orders with local vendor partners, track and manage delivery, setup and return of rented items
  • Advise on determining rental needs (tables, linens, platters, chafers, risers etc.) as a function of approved menu and event design under direction of Event Operations Leaders and EPM
  • Develop event travel path maps and onsite check lists and build out timelines, including but not limited to production travel path, event staff travel path, all-inclusive 
  • Support the development and interation of protocol and processes (SOP’s) pertaining to the logistical food and beverage execution of private and public events
  • Manage venue image ensuring consistent quality service
  • Assist in process to develop and manage customer expectations by providing clear communication, hospitality, and professionalism
  • Supporting Team to maintain relationships with high value customer contacts, creating repeat business
  • Proactively address and escalate internal team and client complaints and concerns and facilitate client recovery meetings, on case by case basis

Years of Related Professional Experience: 2-3 years of Event production and/or related event operations experience

Educational/Position Requirements: BA Business Administration, Hospitality, or relevant experience

Management Experience: 1-2 years of successful vendor/contractor management experience

Technical Skills:

Computer/Software Applications: Google suite (Gmail, Docs, gCal, Sheets, Slides),Google Drive, Slack,  Adobe Suite, Social Tables or layout software preferred

Project Management Tools: Asana preferred

Presentation Tools: Google Slides preferred

Travel Required(%): 25%-30% 

Communication Skills: 2+ Years customer service or Sales experience with excellent demonstrated written and verbal communication skills.

Other: 

  • Vendor/third party management experience preferred
  • Understanding of technical tools necessary for implementing and tracking processes and systems to measure and make continuous improvement to systems.
  • Valid CA Driver’s License and Clean Driving Record
  • Must be 25 years or older to drive a company vehicle
  • Schedule Requirements: This is a position which requires occasional nights and weekends as necessary to support the operational needs.

In addition, the employee will be required to lift and/or move moderate (up to 30 pounds) and occasionally heavy (80 pounds or greater) weight.
