Operations Coordinator

The Operations Coordinator is responsible for setting the hourly operations staff up for success by:
- Ensuring all staff have the necessary physical materials and communication tools for their shifts and events
- Maintaining and caring for OTG equipment and materials to ensure they are in excellent condition for a polished event experience
- Overseeing the Creator onboarding experience, document management, and sales documentation with accuracy and efficiency
- Enforcing daily accountability of hourly staff, ensuring that materials, vehicle checks, and reporting processes are properly followed
- Managing Defect reporting and documentation in OXP, as well as processing fines for Defects, to maximize equipment value and uphold brand standards
- Serving as the point person for Market operations when no other coverage is available, including taking full responsibility for on-site execution, communication, and physical setup—this may require lifting and moving materials weighing up to 50 lbs
- Championing operational efficiency and accessibility by proactively identifying and implementing improvements—such as using lighter materials and tools, making mobility adjustments, and providing reasonable accommodations to support physical accessibility and team member well-being
Daily responsibilities:
- Execute Creator onboarding efficiently and completely
- Review Market Producer and Catering Producer post-event reports
- Process Creator document reviews and sales slips
- Stage event materials for easy truck loading and pickup at OEP events
- Inspect vehicle sign-in logs, ensuring pack, cab, and exterior conditions are reported
- Report Defects and process fines as needed
Weekly responsibilities:
- Schedule Creator tastings and gather content/documentation
- Respond to Creator questions (general inquiries) within 24 hours
- Execute and support partnership materials for Market activations, collecting documentation/content for future amplification
- Update the upcoming week’s materials plan and conduct on-site Market visits to provide training and make improvements
- Perform office and warehouse stocking and purchasing
- Assess equipment condition and plan maintenance or repair tasks (in coordination with Market Producers/facilities)
- Design and maintain a truck asset management system, including clear, labeled layouts for item placement inside each vehicle so that Market Producers and hourly workers can load and unload quickly and consistently
- Ensure truck and material setups are “plug and play” ready by establishing, tracking, and communicating equipment organization protocols that streamline setup for events
- Collaborate with leadership to develop content plans for upcoming Market Producer filming sessions
Monthly responsibilities:
- Create and distribute a “new Creator” deck to OTG staff
- Manage vendor scheduling for facilities cleaning and communicate with third-party vendors such as restroom rental companies and fleet management companies to ensure smooth operational execution for OTG onsite staff
As-needed tasks:
- Update the Creator FAQ
- Revise Market guide materials
- Collect and submit Market permit documents
- Print and maintain Market materials and signage at required par levels (as outlined in the Market guide)
- Support Creator onboarding in OXP and provide Tabica onboarding/training
- Cover Market operations in the absence of Market Producers
- Act as an on-site auditor at Markets to ensure Creator compliance with company expectations—this includes confirming use of curb ramps, checking for correct pricing, verifying accounting for funds collected through community partnerships, and identifying issues related to setup or branding
- Distribute fines and document Defects as needed to uphold safety, accessibility, and operational standards, including tracking violations over time for accountability and support conversations
