Program Manager (Full- Time)

POSITION SUMMARY

Off the Grid’s Program  Manager is a natural leader and strategic operations manager with a background in the growth of successful programs with a focus on data manipulation, logistics and vendor management. This role is responsible for driving the operational success of 1-2 of Off the Grid’s Emergency Relief programs, which supports upwards of 10-30K meals weekly.

The ideal candidate is a highly motivated, results driven operator, or project manager, with a growth mindset to build systems and processes on behalf of our customers through amazing teamwork, individual empowerment, transparent and proactive communication, and willingness to innovate. This role is a project leader, a communicator, and a world class customer service professional who is interested in understanding how our emergency relief programs can impact the surrounding communities and supply chain. Previous experience with effective management of remote teams is a plus.

 

This is a full-time position which requires nights and weekends to regularly oversee, support and improve operational needs. This position is primarily based in San Francisco with travel to vendor and program sites as needed throughout the Bay Area.

 

KEY RESPONSIBILITIES

This position will be responsible for, but not limited to the following: 

Program Management

  • Coordinate with cross discipline team members to make sure that all parties are on track with project requirements, deadlines, and schedules.

  • Demonstrate company values through program operations with clients and internal and external stakeholders.

  • Utilize strong systems-oriented thinking for creating, documenting and refining processes to produce scalable experiences that can be sold or implemented with short notice. 

  • Meet with project team members to tackle and solve challenging start-up and scalability issues that require resourcefulness, creative thinking, and collaboration.

  • Submit project deliverables and ensure that they adhere to quality standards.

  • Prepare status reports by gathering, analyzing and summarizing relevant information.

  • Establish effective project communication plans and ensure their execution.

  • Facilitate change requests to ensure that all parties are informed of the impacts on schedule and budget.

  • Coordinate the development of user manuals, training materials and other documents as needed to enable successful implementation and turnover of the process or system to the clients.

  • Champion Off the Grid values, working to instill them in all facets of operations, and fully embodying Off the Grid associated with our program standards to create scalable and thoughtful services for our clients and recipients. 

  • Identify and develop new opportunities with clients.

  • Obtain customer acceptance of project deliverables.

  • Identify and implement cost reduction initiatives for optimal strategic use of resources.

  • Own the customer experience in our programs, including execution, client management and post program logistical needs. 

  • Conduct project evaluation throughout and post program and identify successful and unsuccessful project elements.

Program Logistics

  • Run Day to day operations and 3rd party vendor management (Restaurants, Creators, Couriers, etc)

  • Select and vetting vendors and negotiating contracts and rates.

  • Plan and monitor inbound and outgoing deliveries.

  • Oversee and Supervising onsite logistics, warehouse, transportation, and customer services.

  • Organize incoming data, assigning vendors, plotting routes, and processing deliveries.

  • Oversee recipient/client success and respond to any issues or complaints.

  • Research and iterating ideal delivery process and techniques, routing, and carriers.

  • Follow and develop partner protocols and logistical procedures.

  • Collaborate and communicating interdepartmentally program specifics and schedules

  • Work with other departments to incorporate logistics with company procedures and operations.

  • Build systems of transparency for ensuring health, safety and sanitation standards are met above and beyond local health code standards.

Financials 

  • Plan, forecast and manage the financials and liaison with our finance partners and meet all finance timelines as appropriate.

  • Assist in the creation of, program budget and recurring program pro-formas, and manage monthly P&L reports for financial accountability.

  • Support financial key metrics and KPI’s and drive monthly, quarterly and annual financial goals. Manage staffing and labor models to ensure efficiencies and that the department stays within forecasted range(s). 

Employee Experience 

  • Manage and mentor development of Operations staff to grow the team as our business needs and their professional development requests allow.

  • Assist and contribute to company culture programs, helping to foster a culture of learning, innovation, accountability, diversity of experience and discovery.

  • Maintain and oversee employee accountability programs based on company initiatives, and enforce company policies and procedures. 

  • Set and manage recruiting goals and hiring deliverables.

Years of Related Professional Experience: 2+ years of professional project management and/or related operations experience, with a focus on data analysis and logistics. 

Educational/Position Requirements: BA Business Administration or relevant experience

Management Experience: 2+ years of successful management experience

Technical Skills:

Computer/Software Applications: Google suite (Gmail, Docs, gCal, Sheets, Slides), Microsoft Suite, Google Drive, Slack; Excel or Google Sheets Experience Required

Project Management Tools: Asana

Presentation Tools: Slides, Powerpoint, Adobe Suite

Skills: 2+ Years customer service or Sales experience with excellent demonstrated written and verbal communication skills.

Other: 

  • Vendor/third party management experience required

  • Understanding of technical tools necessary for implementing and tracking processes and systems to measure and make continuous improvement to systems.

  • Valid CA Driver’s License and Clean Driving Record

  • Must be 25 years or older to drive a company vehicle

  • Schedule Requirements: This is a full-time position which requires occasional nights and weekends as necessary to support the operational needs.
